At Lume Women + Health, we are building a new standard in women's health that is evidence-based, proactive, and deeply personalized. We are looking for an organized, warm, and resourceful Sales & Events Assistant to support our founders and sales team as we bring Lume to more of Canada's leading employers and the women who work there. This is a support role, and it matters. You will make sure our leadership team walks into every corporate meeting with the right materials, that our CRM reflects what actually happened, and that our events run so smoothly nobody notices the work behind them. Working directly with our Chief Executive Officer and Chief Growth Officer, you will tailor pitch materials for prospective companies, keep our sales pipeline current, and plan and run the events and physician-led presentations that introduce women to Lume. This role is ideal for someone early in their career who takes pride in precision and follow-through, enjoys moving between desk work and hands-on event work, and wants to learn how a physician-led company grows.
Your key responsibilities
- Support our corporate sales activities. You will:
- Tailor the corporate pitch deck, proposals, and follow-up materials to each prospective company in Canva and have them ready ahead of every meeting
- Keep our library of corporate collateral, templates, and pricing documents current and organized
- Prepare onboarding and communications packages for new corporate partners
- Coordinate meeting logistics, send follow-up materials, and track action items through to completion
- Keep our sales pipeline accurate and current. You will:
- Maintain HubSpot (our CRM), including contacts, deal stages, meeting notes, and next steps
- Prepare a weekly pipeline update for the leadership team
- Maintain organized records of proposals, agreements, and client documents
- Plan and run Lume's events. You will:
- Coordinate corporate, community, and patient events from start to finish with direction from the sales team, including venues, vendors, AV, guest lists, invitations, and day-of coordination, at the clinic and at external venues
- Work within an assigned budget for each event, ordering catering, drinks, flowers, and other supplies and keeping spending on track
- Keep our relationships with clubs, associations, and affiliated vendors organized and active, and help source new event opportunities
- Handle post-event follow-up, including thank-yous, attendee data capture in HubSpot, and lead follow-up communications
- Pull attendee lists for outreach and assign to appropriate team member
- Support marketing campaigns with Canva assets and keep promotional materials organized and ready
- Set-up and clean up of event space
- Coordinate physician-led presentations and education sessions for corporate clients and community groups, working directly with our doctors on scheduling, content, and materials.
- Be available for occasional evening events, with flexibility in your schedule during event weeks.
- Perform other duties and responsibilities as assigned.
A bit about you
- One to two years of experience in an administrative, coordination, events, or sales support role, or strong co-op and internship experience.
- Confident in Canva and PowerPoint, and comfortable in Word, Excel, and Outlook.
- Organized and precise. You keep track of the details and your work is clean the first time.
- Clear writing and a warm, professional manner with executives, corporate clients, and patients.
- Comfortable moving between desk work and hands-on event work, including setting up and carrying materials.
- Able to work four days a week at our clinic, travel to events in the GTA, and support the occasional evening event.
- Experience with HubSpot, event coordination, or a client-facing industry such as healthcare or professional services is an asset.
- Exhibits a passion for making a difference in the lives of women.
- Committed to an equitable, diverse, and inclusive environment within the clinic.
Compensation & Benefits
- $52,000 annually, full-time, hybrid with four days at the clinic and one day remote.
- Four weeks of paid vacation, including the week between Christmas and New Year's when the clinic is closed.
- Health spending account.
- A beautiful, supportive work environment dedicated to growth and learning.
