The opportunity
Most patients don't leave a fertility clinic because treatment failed. They leave because they felt rushed, uninformed or handed off at the moments that mattered most. As Clinic Manager, you will make sure that doesn't happen at your clinic.
You will lead both the business and the experience of care: the people, schedules, systems and decisions that make each patient's journey coordinated and compassionate, from first consultation through treatment and follow-up. You own the clinic's operating performance and P&L, lead the administrative teams, and partner with the Medical Director, Lab Director and Nursing Director so that capacity, staffing and care work as one. You will report to the Regional Director of Operations.
This is a hands-on leadership role at a pivotal time. There is significant room to grow: many people who need fertility care are still waiting to start, and the clinics that earn their trust will lead. You will shorten the time from consultation to treatment, make every interaction clear and empathetic, and build a team culture where engaged employees create better patient experiences.
What you will lead:
The patient experience, end to end
- Own the patient journey in the clinic, from consultation through treatment and follow-up, with a smooth handoff from intake.
- Make communication timely, clear and empathetic, especially when results are hard to hear or a cycle doesn't succeed.
- Close the gaps patients feel most: abrupt handoffs between teams, partners left out of conversations, and limited follow-up after treatment ends.
- Connect patients to emotional support, and make care welcoming for 2SLGBTQIA+ patients and all family structures.
- Use patient feedback and Net Promoter Score to fix recurring issues in ways patients can feel.
Access and capacity
- Reduce the time from consultation to first treatment and the number of patients lost along the way.
- Plan capacity with physicians and the Lab Director so consultations, monitoring, procedures and lab services fit together.
- Run daily operations: staffing, schedules, patient flow, space, equipment and inventory.
Business performance
- Manage the clinic P&L, spending and staffing within approved budgets and delegated authority.
- Review monthly results, explain variances and act on them.
- Partner with Marketing and enterprise teams on local growth opportunities.
People and culture
- Lead, coach and develop the nursing and administrative teams, directly or through team leads.
- Own hiring, onboarding, recognition, performance and succession with Human Resources.
- Define clear roles so nurses and administrators take work off physicians' plates and patients always know who to call.
- Build a respectful, inclusive culture where people raise concerns, share ideas and see how their work helps patients.
Change, systems and quality
- Lead local rollout of network initiatives, digital tools and the electronic medical record (EMR), from training through adoption.
- Use clinic data and frontline feedback to improve workflows, and share what works across TFP.
- Keep the clinic ready for accreditation, audits and inspections, and ensure privacy, security and workplace safety standards are met.
Physicians remain responsible for clinical decisions. The Lab Director remains responsible for laboratory operations, scientific standards and lab staff.
